Streamline business processes with the Microsoft Teams development platform | TMS50
All. Right good afternoon everyone welcome. Welcome. To the session where we'll talk about, how. You can streamline, your, existing. Meal relevant. Business processes, everything. Right within teams. Before, I step into the content, let me just quickly make some introductions I'm Karan Begum I lead the practice of teams product marketing or one of the leads there I'm joined. By my friend Zaki, who leads our platform, growth team and then, we, are fortunate to have a, very dear friend from American Red Cross Nikhil. There. Are four key, takeaways, for this session, number. One that, you can integrate your processes, and workflows right, within teams. There. Are spectrums. Of choices, available for you so you could easily go for a ready-made, application, that a partner, has made and it's integrated in teams you, could create a load you know you can use load application, tools to, create an application from scratch and integrate that or you, can go with pro dev tools and it to create those solutions, right within teams the, choice is ultimately yours. Zaki. Will deep. Do a deep dive and what, the, way we think about it so. You know some of the scenarios, of how you should start thinking about the scenarios, that your business is looking. To solve and then what capabilities, within teams platform, bots, extensions, Messing's, tensions tasks modules all the relevant small, elements, within the platform, story, that can help you decide what's, the right thing to use when and, then. Lastly we understand. It's, not just apps and chats and call our conversations, ultimately. It matters, that your company information is secure and compliant and you're easily able to manage it so we'll spend some time on that, so. With that let's. Take a step back you know there are some secular, trends that we are noticing in. The industry you. Know every, big customer I've talked to recently. Consistently. They've told me how you, know their IT departments. Are feeling the pressure. The pace at which the business is expanding, growing multiplying. It's. Just tough to keep up with the kind of requirements, that the business is asking them asking, from them the, backlog, is increasing, then, of apps in every organization in our every department as improve is exploding. On a month-by-month here, by your basis right, so, many of employees, have started using their own applications, that, organization. May not be familiar with so, every, company, is looking. For a solution where they can bring their app solutions, in one. Single, place in, a manageable way right, so that's happening at the company level now. Let's look at the individual, level I'm sure some of you can you. Know relate with this I I definitely, can a ton. Of our time goes, in just doing routine tasks, things. That can be easily automated. Think of thing think of things like approvals, and you know just going, back and forth and submitting documents, for approvals again it's, just mundane, tasks, that can be easily automated, and at. The same time context, switching is becoming a real problem we've, heard this again and again all the research we've done consumers. End-users are struggling with the fact that it have 50,000, applications you. Have all these you. Know cloud storages, and websites and you always going back and forth so. Everyone's, essentially, looking for a single, unified, way where. You can bring your apps and processes, all, your, communication, and collaboration needs, and that's exactly, where, we believe teams. Is a powerful, solution I'm, sure you've seen the slide multiple, times in the last couple of days so let me do it one more time, the. Reason why we are excited about teams is it's not just about chats, it's. So, much more the. Fact that you can bring your chats. Your. Meetings. Your. Telephony. Solution. Your. Files all your, office 365 files, as well, as all your apps and processes in one single hub right. That's the real power of teams, that's, why we are excited that's, why we believe our customers, are excited about the opportunity, and how it can help them scale so. What does that mean for a business is it essentially means you can collaborate. You. Can bring all your business processes, that you use today in, the company. The. Next thing is really powerful, the. Fact that we, have tailored. Solutions, for first, line workers, healthcare. Education. Is really. Powerful that opens up so, many new opportunities for, everyone, and then, lastly all of this is built on the. Enterprise. Great security and compliance of Microsoft 365 so, you can you can trust in the fact that your data is secure, another. Way of just looking at this is this we know people use apps and solutions. So whether you're using your office applications, like Word Excel PowerPoint or you, have partner ready-made applications.
Or. You're using power automate, power app or power. Bi. Or. Your line of business applications all, of, this can, easily be integrated right within teams let's take a quick example, sales. Is something, that's typically available, in every company. You could be a very small size company mid sized company a large huge. Enterprise like Microsoft, sales is pretty much. Available. Everywhere right it happens everywhere the process and there, are a few steps that happen in a typical, sales cycle, you, know you have to draft the bed you have to submit the customer, order you, have to create the opportunity, to be able to talk to that account you, have to didn't submit the proposal and then lastly you have to just meet. With the customer so let's see how this entire cycle can be done all, of this can be done within teams. So, here I'm in the first stage of drafting the bed I can pull together my team together in a simple construct, right within teams I can create chats I can, start working with people and, then. At the same time because I have, access to all my office applications, I can pull in a document in a simple way right within teams and I. Can start working with, my team on that document right all, of this is happening right within teams the. Next stage of a sales cycle is I have to submit the customer order so here I have a, company. Line of business applications where, you know we submit our orders we actually estimate our pricing, our reviews. Etc. Again. I was easily able to integrate that right within my team's frame I can take all those actions right with my colleagues my friends in this view once. I've done that I have, to actually create a sales opportunity right. And this, is exactly where you know we see that our to like dynamic that's. Used by so many different customers to manage their sales opportunities, leads etc, again. Is available right within teams so once you've done the created the opportunity you can, easily just move to the next tab in teams manage. All your sales leads, etc, using dynamics, and themes once. You've gone through that you, can, easily submit the order using power automate, in teams so you'll see here I submit, my, sales order in.
SharePoint, That's the back end of teams and as soon as I do that it. Basically kicks off. An. Approval. Process using. Power automate in my team's conversation, right, now. All of this goodness think, of this is a typical, end-to-end scenario, for any company all of this is happening right within teams. So. That's that's the basic idea of how we're thinking about just our. You. Know how, teams becomes the hub of your day-to-day processes, now I can stand here and keep talking about just teams and all the slides that I have for you but I think, nothing makes, it real. You. Know better, than a customer, actually coming on stage and sharing, how they are using teams and their applications, within that so. Let me just, roll off a quick video about how American, Red Cross is utilizing. Teams and power, platform, in their company and then we'll have Nick on the stage to talk about the solution. The. American Red Cross is mission is to help prevent, and alleviate human, suffering and, to, do that they rely very heavily on volunteers all. Across the country, we. Respond, to everything from a single-family, house fire to, tornadoes. Tsunamis. You. Name it we'll respond, to it we couldn't do our mission without the volunteers nationwide, we, have about three hundred seventy two thousand. And they are the backbone of our work force my, role is a logistics. Lead and I'm also an IT champion. I do almost a hundred percent of my work from my home I'm, working with people that are all across the country. I have different challenges in, disaster. Response and in my daily job it's distance, and the number of people so we've really started to use Microsoft, teams that has been a tool for us to be able to not, only have video conference, calls and share, screens, and, share information, but also just organize, the work in general with, teams, you can connect with the people and, I should get to the point where you're developing in that work with them, last. Year we lost, 15,000, homes in the campfire 60, days into, that disaster. We still, had a persistent. Shelter population. We decided, to use Microsoft. Power bi and using, some of these power apps pull all the information, in together and that really enabled all of the agencies, to work together and, within a, little, under 30 days we were able to close the shelter and make sure that everybody, had a place to stay, anybody. In the Red Cross can. Create, a Power we're. Using by automated, to help increase the, automation, we just set up a flow for it so, that's helping you save time it's, streamlining, the process now. With power apps we feel that the data is trustworthy, and we can make better and quicker decisions. In. Using, some of these power apps dashboards. And other systems, have enabled. Them, to really. See what's going on to, see the bigger picture to see how they fit in technology. Has really helped us in trying, to fulfill, the mission of, the American Red Cross all, of those have been great tools that reduce, the time that we're spending. Collaborating. And coordinating so, that we can really focus in on those that are impacted, by the disaster, my. Job is to help people I have. The greatest job in the world. Man. Every time I've seen this video Oh Nick. Let's, not wait for you up guys. Please welcome Nick Gill from American Red Cross, thank. You I. Think. If we keep it on that for the slide it's gone okay. So. Like Quran said my name is Nick I'm with the American Red Cross I work, in our training Services Department so, what, that means is the the folks that teach CPR classes, so. All things CPR, lifeguarding, things for certifications. So. Specifically. What my role within the organization is is as our manager. Of logistics, and inventory for training services so, it's a picture this we've got about 500 instructors, a little over 500 structures paid volunteer, across, the country they're all considered work from home employees, and. With those 500 structures we're training over 500,000. Enrollees in these life-saving skills, and.
All, Of again all of those are a remote workforce and so that really led us to needing. To try and identify a solution. For. How we can really stay, in touch with our teams our. Physical. Human teams right in how we can be a cohesive workforce, I've got nine staff that are spread out across the country that that are kind of isolated in their own buildings, and, so what we found is that using teams we've. Been able to make it that that hub for everything, whether. It's referring. To SharePoint news whether, it's collaborating. On a document or showing videos of new products that we've got one. Prior two teams we had, this kind, of alert fatigue. Our. Biggest challenge and adoption, was just helping, users, understand, what link to click on with. Power apps for example we even started creating a little short links to trying to help get to our apps so. Being able to have everything in one spot was huge I'm. Gonna walk you through a scenario and. This is all about the supply hub the. Supply hub is an app that I built that that, really helps solve a business challenge. How. Instructors go about ordering their supplies and again I'm not an IT by any means but, I'm excited to share it with you prior to the, supply hub we had a very paper-based process. That, involved. Filling. Out a paper. Record scanning. It emailing it into somebody and then went through some different routes to do to finally. Packed and shipped the order and, that resulted in three to four week lead time or. Order lifecycle time from, time that the instructor place the order to the time that the package. Was delivered, utilizing. Power apps we made the supply hub and that reduced to a three I'm sorry to a four to five business day, order. Life cycle from, the time that the instructor places the order to the time the my team has that delivered on their front doorstep so, it was really huge, so. Here you can see an example of a typical team I'm gonna pretend though I am Nick the instructor, and I've got my I'm, part of a territory, here one of my kind, of our departments, that's what we would consider it to be and. You can see I'm able to quickly access, the. Supply hub that, power app here right inside of teams let. Me expand this blow it up here for you, if. I got to admit to you I didn't even know that this expand, button existed. Until, this conference that's, just just throwing that out there I, thought. That was pretty cool. So. So check this out we can connect to all sorts of different data sources I'm. Able to bring in then the, the, course. Calendar that's coming in from our learning management system, using data there that's. Able to then bridge over to even estimate because we know how many students are going to be each class and what products are needed for those so then we're able to kind of clue in and cue in for our instructors as to what supplies they're gonna need to be able to help them out I'm. Bringing in stuff just from office 365 as far as for the user profile, here let. Me see if I can walk you through here of placing, an order of what an instructor would do let's. See we've got so. We've got our items that pop up just. Add. Some things here to this cart. See. We can add remove stuff and. Then. Just place our order and so then that order, it's. Gonna get routed, over to. Somebody. That's on the logistics team someone that's on my team and. They'll go ahead and fulfill. That let me also show you another piece here I'd hope to have a mannequin. To show you this but I just wasn't able to get it here in for. The conference but so. Here's just an animation here where you can see about. How we use it can use the AI builder, to, be able to take a picture then of a mannequin, and then. For. The instructors I'm to be able take a picture of the mannequin and then, it associates, the items, that are then a part of that so if maybe an attractor doesn't know what kind of mannequin they have we've got a number of different types of our infant mannequins for example they, just take a picture of it and can filter it down so it's pretty cool. So. I told you that that order, was gonna be routed over to one of my team members and. So this order here was routed over to, to Megan and, so, you can see here's our order and I'm using a flow adaptive, card to. Be able to bring in those line items and so, that way then the team can go ahead and review those and either, approve or reject. Put. In some comments if they want but. And. So that's submitting there so you can see it was just right right in line with the app just kind of like the prior slide there showed pretty, cool. Let. Me walk you through maybe just a little bit of the backend of the app so you can kinda see it and again I'd be available, afterwards the answer any kind of questions but, just a quick run through here you can see these are just galleries, that, are pulling in that data, the. Little text here I mean it's just it's, just you set it up in one, little component and, I'm sorting out a component you set up the labels there and it, just repeats down, you know as.
Far As for things like the header bar things, like the the user profile, those. Are all using components, so that way you can use those and import them across other apps pretty, cool. And. Then. As. Far as for even like on the product screen here this gallery here a lot of these kind. Of that white background thing, there that's, just images, you can use drop shot a drop, shadow images, there or. Even use inline CSS to, like. A little HTML text box thing to be able to show some of those drop shadows that's pretty cool. And so just all things I think this is even really cool to that a little everything I'm that's it's all built into power, apps there's just a little option to enable pretty, cool. On. The flow end, the. Adaptive, card is nothing more than just a flow, step so it's that post approval card to teams and it just just, does it and. I, know that I've seen where some people they they then, disable the email one two and but, I think, it's pretty cool just app I mean you now you can have it going to an email you got it going to the chat, channel and teams and then if you got your flow app or a power. Automate, app, then. They even get a little ping on there where they can approve it right in line on there so it's it's pretty cool it. Meets people where they're at so. Then, the other piece that we utilize is with power bi, so. Meghan, in this instance can, easily. Then navigate, it's just another tab to be able to pull up data from we. Have premium, capacity, on power bi that we will utilize there just, to pull, up data about that for, in this example here just some order usage but, what it's provided, us is visibility, in a whole new way going from where we had these paper forms, that people. Were scanning in email and then we were hand counting trying to do the bean counting there to. Being able to have tree visibility, even down to how many stickers we've, issued out to folks it's. Pretty cool. Alright. So we just talked about, why. We are excited about teams, as. An opportunity as a platform right where you can bring your solutions, Nick. Just showed an example of how American, Red Cross is leveraging, themes and power platform, together but. I'm sure you keen to understand the guts and pieces of what teams are the platform means so, for that let me invite my friends aki on stage and he will go in details on platform. Thanks. Karen. Zaki. Part of Microsoft teams engineering, and me. And my team we are responsible, for working. With customers like American, Red Cross across, the globe to, help, them, use, teams beyond, just, calling, and meeting tool right more, than communication, and collaboration is, the, exact thing that we are here for is how do you take teams and, make, it your single, windowpane for. All your business processes, collaboration. Needs and work stream collaboration, if you would call it that's, what me and my team focuses, on. What. I'm going to be discussing in next 15 to 20 minutes is about what. You saw Nick do there first of all it's an amazing, amazing story. It's so simple when, you think about it right this complex, process, if you take it from a paper to. Pixel. One, of the things that we have seen it is how, fast can you do it it's, about smarter. Faster way, of doing it not writing like I wouldn't really be surprised if you would have to write like, 15. Week days. Just. Code it and then figure out it is just solving a problem that is going to be used by a handful of people or a large-scale set of people so that's where it gets really interesting and, that's, what we're going to be discussing today so, three takeaways, that I want you to you. Know conclude, after my talk. Here is how. Do you think about teams from a perspective of. Line. Of business line of posess could be as simple as a two-man. Process. To a multi, actor process, to just be in personal productivity I, mean if it's just about me in in that context, how do you use teams, while. We are discussing, about it like how do you think about it how do you think about teams. And, the constructs of it how do you unpack it into something what we call scenario, thinking, right. How do you envision that scenario once. We are able to do that we're going to look at okay. Now I have figured out what scenario, I want to enable in teams but what capability, used when, lot. Of the time we get confused at BOTS, is at am as a connector. They a bunch of things over there and what. I want you to walk away today is with this five what. I call it has UX patterns. Basically. How would you use a, certain. Capability in what context, and what scenario, we're going to cover that and then, lastly you're going to cover about great. Now you have got apps built, how. Do you manage it in your organization, that's.
One Critical, piece like lot, of the time innovation. Is good if it's, manageable, we. Have heard customers, telling us like great we. Are empowering, citizen, developers, but it's kind of creating a fatigue for, our IT in, terms, of managing, it in terms of rolling it out and in, terms of discoverability, as well it's very tough then we. Have done this in the past so I'll, be kind, of touching few, areas over there so. Quickly one. Of the key thing that. For, a moment just forget about teams, just forget about office, 365, think. About the scenario what business, problem you're trying to solve what's the pain point and, I. Would usually. Refer to something, called toothbrush test. Whatever. Scenario you're thinking about whatever use case you're thinking about whatever, business problem, you're trying to solve or enable that, light of business scenario into teams how. Often are people going to use it is it. Twice a day just twice. A week is it, twice a month is, it twice a year twice, a quarter you. Have to think about frequency, of usage because. Then you're going to think about how much you want to invest in it if. It's, something that's gonna be used daily, what. That means now is okay. That's. A high frequency scenario. I need. To log, in to teams I need to check my notifications that's, a daily digital habit is. Your. Business process, warranting, something that I need to just check, in once in a week and look at my approvals, like my, directs filing, the travel, and expenses, reports. And I just need to go I have this 30 minutes locked, every, week on a Friday I go and look at my provers and I just need to approve my expense reports directs expense reports that's, a one week once. In a week depends. How many people are traveling that week and what it you know expenses, have been incurred so. That's. Like once in a week scenario, then, there, are quarterly, review scenarios, or monthly review scenarios so you have to think about frequency, as well so. How. Big is the problem how. Frequently, is it going to be used then. The third most thing that you have to think about is what's. The collaboration, opportunity, why, can't I do this in my existing, web tool or my mobile tool why. Would I want to bring it into teams. It's. Not because, it's the shiny thing, that's, one way to say it like a lot of the times what we're hearing from IT, organizations. Is or we. Have you. Know tens and. Hundreds, of different in tune processes, set up to deploy mobile apps for a different set of users and one, of the way IT is thinking about is because. We are deploying teams and, teams can be a platform. We just get away from those mobile apps and bring them into teams as line. Of business scenarios and apps and teams, itself that. Way I am able to shut off that workload save. The dollars. Save, the resource bandwidth. Utilize, it on you, know core innovation, work rather, than maintenance. And support so that's one way to think about it the, other way to think about it is, how. Would it really solve the problem much, better if, it. Is taking you something, today let's, say what Nick has talked about right what, could have taken weeks has reduced two days, that's. Because they, were able to figure out the collaboration, opportunity, they figured out there are set of people in a team they are always connected, they need visibility as to what's going on what's going on in the field what's going on in the head you, know HQ, where the supply. Orders are managed in that, case they, were able to figure out if all the people that, are involved in a process or involved. In the decision-making are. In a team that's. The opportunity. For us to go and elevate. Upon what, that means is the. Scenario you are trying to enable in teams will it make people smarter be. Able to allow you to take decisions, faster, and, more. Importantly, do, it more confidently, the. Resiliency, of ability, to take a decision or action. In teams should be the key thing so. That's, how you start thinking about the scenario that's the key part the reason I spend some time on the slide is that's.
How People like. That's the essential thing you have to forget for a moment that, you want if you want to think about Microsoft, teams as a platform you don't need to be a technical resource, you. Can pretty much be. The business champion process. Owner and still. Be able to think about teams as a platform, that's the key takeaway on this slide and. A. Bunch of scenarios you can think about like if we take digital transformation. At organizations. You, can think about how, are how am I going to empower employees in, teams you have to start thinking about that, how. Am I going to connect with my connect customers, to. Help them resolve issues and, to be a, better, champion, of the, product to them how, do you, innovate. Faster like if you're in the business of you, know and building products, how do you do that right, so this could be areas where you know software engineering folks or product engineering folks could get involved and what are the scenarios related there and the, last pieces, every. Organization. Would, have projects, and prossies processes. And programs so, how do you manage your operations, how do you deliver. All the three on, all the three fronts employees customers and products, doing, it more efficiently in that case what are the scenarios I, have, listed out few over here tomorrow we have a session at 9:00, a.m. a breakout, session called driving digital, transformation, using Microsoft, beams and that's, where you're going to do a double click on just, what possible, scenarios you can think of in these, four. Pillars of digital, transformation. Once. You have the scenario. You. Can think about like do you want to go build an app as a, citizen, developer or do, you want to write, code as a software, engineer or there's, add a third way as. An end-user how. Can I go figure, out what app in store I can, use to fulfill that order like for instance what. Nick was able to do in as a citizen developer, was go ahead build up our app but, because that power app was built in perhaps he was able to bring it into teams by. Using just the power app in teams so he didn't have to really figure out the logic or the plumbing part of it so, there are various, other apps that we have we have Azure DevOps for software, engineering, at lesion on that front, we have over, 300 plus. Apps available, today over 315 in fact, to, correct that so what, scenarios, and most of the time a lot. Of these apps you're already using in your organization. You. Might have ad enabled, with them like your IT might have already done that so you could just start using them it's support single sign-on most. Of the partners do and they, allow you to sign in with your author's. To five credentials. And you can get started so that's one way of solving the. Business, problem in teams right away you don't need to build things from scratch if needed. Now. We talked about app, what. Does an app in teams mean, I mean. There are these various, kind, of experiences. That we have kind. Of enabled, on top of our platform so, developers, can pick, and choose these. Capabilities, and ship them as part of an app story, now. An app. Can be a combination, of them it can be just a chat board or it could have one. Or two of such, capabilities, combined and we. Are gonna now look at what, does each capability, mean and win which scenario you want to use them whether. You're a software, engineer or you're, an end-user who. Is just consuming, an app from store, itself, and you want to figure out okay I want to use Paulie for service that's, a bot how would it run service for me I want, to use as your DevOps for software, engineering management pull requests, and code management so, those kind of things right so capabilities. Is critical once. You got your scenario, you. Know lock figure. Out figuring, out which capability. Used is what we are going to discuss and of, course these capabilities, can connect, to your data systems, it, can be something that's Enosh or it, can be something that's in your own line of business systems. On. Prem or on cloud you have to wire. That up and then, it could be something that's sitting in SharePoint, or it, could be something that's sitting on power platform, now, power platform, desks just doesn't allow you to like, build UI, without. Writing code in fact it allows you to manage data as well without writing much of code you could just go in and if you're someone. Who can do rows and columns in Excel, it's. That simple to go ahead and create a data model in power, platform, and manage it so now you don't have to figure out oh my app will it need a database or not so. There, is something called common data service, and a power platform, you could leverage that and. The. Other piece is if, you're a citizen, developer you said I don't, want to write code I have these complex business processes. Where, I need to route there, are logics, that I need to build those.
Logics, You can build with, power automate, what was earlier called Microsoft, flow you. Can do that with power automate, right, away so you are able to get away from writing. Code to actually, even go to the extent of writing code like a lot of these capabilities you can build it with your, own c-sharp. Node.js code as well one. Thing I want to call out over here when. We talk about SharePoint. Lot, of us in this room would have already existing, investments, into SharePoint like, we would have gone bid you, know list as simple as a list based workflow or we, would have gone ahead and build ship on sites we. Would have God and build SharePoint, web parts you, could all bring that into teams with. Very, minimal code, implementation, and they are all synchronized. Like they connect to each other and they talk to each other look. In a while what that means. So. The, first capability, that I want you to you. Know think, about is tabs. Now. Wherever you want a web. Like experience, a rich experience this, is probably too short dashboards. This, is probably to show a list of Records it's, something like, what. Nick, was showing you the whole power app right where you I could go file, an order find. Inventory, file file, and order submit, an order and I was able to take images as a end user upload. Those those, are like traditional. Web capabilities right, those are like traditional, web pages you. Can bring that into teams through, the tap so that's the first thing you want to understand that. Is not related to conversation. That, is not related to you. Know chat. You. Want to bring something outside, that's external facing maybe it's something in SharePoint as a site or a page or you, already have built you, know web pages using. Dotnet, framework you, want to bring those web apps into teams you would think about tabs, as an experience as a, citizen, developer, you. Can use power. Apps you can build something in power apps bring it as a tab so, that's the way to think about tabs. In general now. The beauty of it is. These. Tabs then. Pinned in channel you saw like Nick, was able to go into a channel and supply, orders he had a tab, pinned over there which was nothing but a power app and it was able to submit stuff but. The thing that you can also do is you can have a conversation around, that power the. Tab itself let's. Say I pinned a power bi report, or I pinned a a Kanban. Board as. A tab I can actually have a conversation around it I can say hey, guys what are we doing about this like I see something flagged over here or we need to, you, know press of attention, on these matters we. Are able to get people looking at the same thing now. Imagine, trying to have that conversation. Without. The tab I don't. Like I have to take a snip I have, to put it in my chat and I have to redline it and say mark, can you look at this I don't know what's going on there but now mark and I are in the same team in the same channel and we are having a conversation he, and I are looking at the exactly, the same thing, because. We are part of the same team we are part of the same process and programs and I, am NOT mark doesn't need to take a snips and stuff but he's he and I are able to have a, cohesive. Conversation, around saying okay what do we do next rather than figuring out what it is about, we are not figuring out what should we be doing so. That's one way to think about tabs and the.
Most, Important thing the conversation, that you have around the tab it's, persisted. So. If we go into a channel you know in channel we have something called plus. You, know threaded models so, you start a topic and you, can have a conversation persisted. Over there and it's threaded, which means you can see replies underneath. That's.
